There are two primary ways to caption your event:

Integrate with the player itself

The Zoom platform is set up to receive captions from VITAC captioners, with a little advance setup. To get started, you’ll need to set up an account with VITAC and book a captioner for your event. Once you set up a VITAC account, follow these simple, four-step instructions to have VITAC captions appear directly on the Zoom presentation screen.

  1. Ensure that the “Closed Captioning” setting on your Zoom account is enabled.
  2. Schedule your Zoom meeting at https://zoom.us/meeting as you normally would in the “My Meetings” tab and click “Save.” This brings you to the “Manage My Meeting” view of your meeting. Click the “Start this Meeting” button at the top or bottom of this page.
  3. Once you’ve clicked “Start this Meeting,” select the “Closed Caption” button located in the menu bar at the bottom of the page. This window will allow you to indicate that you will be using VITAC as a third-party closed caption service. Click the “Copy the URL to your clipboard” section of this window and provide the resulting website link to VITAC.

  1. Captions then will appear at the bottom of your screen and are accessible to your meeting participants by clicking the “CC” icon (the icon will be green once the captioner is ready).

Display Captions on a Second Window

The second option uses VITAC’s Internet Captioning Services (ICS) Streamer, which can display captions on computers and mobile devices around the world in an easy-to-use streaming text window. This eliminates the need to integrate captions directly into the player, and also reduces the delay inherent in Zoom captions.
